Alumni Privacy Notice

Sevenoaks Preparatory School (The Prep) offers the option for former pupils, parents, staff and other friends of the school to sign up for email updates about the school’s news including the latest school events and development projects at the school. We send out a few news updates each year as well as occasional other emails about special events or projects the school is running.

Our correspondence may include an appeal for funding of our latest development projects. Through successful fundraising programmes and the generosity of parents, alumni and friends, The Prep is able to offer greater opportunities to its pupils.

Sevenoaks Prep promises to respect the personal information you share with us when you join the alumni association. You can unsubscribe at any time using this form.

What we do with your information?

We use your personal information, with your consent, for the purpose of contacting you as described above.

We may also maintain a record of any correspondence with you and whether you attended school events, to support our planning of future alumni events and other offerings.

We will not transfer your information to any other organisation to use for their own purposes. All personal information is processed by school staff in the UK. However, we use various IT services, some of which are based outside the European Economic Area. We review any services used to confirm that they will process the information securely and only according to our instructions, not for their own purposes. We look for an equivalent level of privacy and security to that required for personal information in the UK, for example through participation in the EU-U.S. Privacy Shield framework.

If you are a parent or carer of a pupil currently or formerly at the school we may cross-reference your information with what we already hold in our role as educator of your child.

Automatically collected information

In order to measure the success of our correspondence, our mailing list software attempts to detect when the email has been opened or when links have been clicked.

Our mailing list software also collects information automatically sent by your computer, such as your IP address and from this attempts to estimate your approximate location.

How long do we keep your information?

We want to maintain an ongoing relationship, so we will retain your contact details, details of our past correspondence with you and automatically collected information such as whether you opened email or clicked links in our emails until you ask us to remove this information.

What are your rights?

You have a right to see the records that we hold on you, to stop us using them or to have them deleted. If at any time you believe information we hold on you is incorrect, please let us know: you have a right to have it corrected. You can contact us at spa@theprep.org.uk .

If you wish to raise a complaint on how we have handled your personal information, please contact our bursar (bursar@theprep.org.uk) who will investigate the matter. If you are not satisfied with our response or believe we are not processing your personal information in accordance with the law, you can complain to the Information Commissioner’s Office (ICO).
